Run recurring boat tours with less manual scheduling and fewer booking conflicts
Create your schedule once, turn it into bookable departures, assign boats, check party sizes against capacity and keep every request connected to the right trip.
From a recurring schedule to the actual departure
Running scheduled tours is different from managing private charters. The same tour may depart several times per week, use different boats and receive more than one booking request before a departure is confirmed.
Marencia brings these pieces together so your team can see what is scheduled, what is booked and which boat is operating each departure.
Define the schedule once. Let Marencia create the departures.
Set up the regular operating schedule for each tour instead of manually creating the same trip again and again.
Define when a tour normally runs and use that schedule as the basis for upcoming departures.
- Create recurring departure schedules
- Define operating days and departure times
- Manage different tours separately
- Generate upcoming departures from your schedule
- Adjust individual departures when operations change
Add separate departure times when the same tour runs more than once per day.
Manage real departures, not just calendar templates
A schedule defines how a tour normally operates. A departure represents what is actually happening on a specific day. That distinction gives your team the flexibility to handle real-world changes without rebuilding the entire schedule.
For each departure you can manage information such as:
- Date and departure time
- Assigned boat
- Available capacity
- Whether it is still free or already booked
- Operational status — Scheduled or Cancelled
- Individual adjustments
Change one departure without changing every future occurrence.
Let guests pick a departure themselves
Every published tour gets its own online booking page in Marencia. Guests see the upcoming departures, choose a date and time and send a request for their party — straight into your backoffice, already linked to the right departure.
- Only available departures are shown — past, cancelled or already booked departures are hidden
- Party size is checked against the departure's capacity
- Requests arrive in your backoffice as bookings, ready to confirm
- Available in English, German, Portuguese and Spanish
Your team stays in control: every request is confirmed by you, not by the system.
Multiple requests. One confirmed booking.
A popular departure can receive more than one booking request before it is confirmed. Every request stays linked to the departure it belongs to — and once one is confirmed, Marencia prevents a second one from being confirmed for the same departure.
Even when one request arrives online and another by phone, only one of them can be confirmed.
Know whether a party fits before you confirm
Each departure has a maximum capacity based on the tour and the boat operating it. Currently, a departure is booked exclusively for one party — Marencia shows your team the party size against that ceiling so you can confirm with confidence.
This applies to whole-boat departures such as:
- Sightseeing tours booked exclusively per party
- Fishing trips
- Sunset cruises
Know which boat is running each tour
Assign a boat to each departure and keep your tour schedule connected to your fleet. This makes it easier to understand which boats are being used across tours and charters — and helps prevent operational conflicts.
Marencia is designed for operators who may run scheduled tours and private charters with the same fleet. Your boats should not exist in separate calendars depending on how they are being used.
See tours and charter operations together
Your calendar should reflect what is actually happening on the water. Marencia combines operational information so your team can understand when boats are already being used and where schedules may overlap.
That becomes particularly important when the same boat can be used for both:
- Scheduled tours — a recurring departure generated from your weekly schedule
- Private charters — a one-off booking for an individual group, outside the recurring schedule
One fleet. One operational view.
Adjust the operation without rebuilding the schedule
Weather, maintenance, demand and operational changes can affect individual departures. Instead of changing the underlying recurring schedule, individual departures can be adjusted separately. For example:
When a booked departure is moved or cancelled, the affected guests receive an email — or switch it off if you'd rather call them yourself.
Your recurring schedule remains intact while the actual operation stays flexible.
Designed for tour operators
The Tour Operations module is designed for businesses running repeatable departures rather than only one-off private bookings. It is particularly relevant for operators managing:
One system for tours, charters and bookings
Tour schedules, private charters, customer bookings, boats and payments are all part of the same operation. Marencia brings them into one backoffice so your team does not have to coordinate the business across separate calendars, spreadsheets and booking systems.
Your operation should not be split across different tools.
- Bookings and booking requests
- Tour departures
- Private charters
- Boat availability
- Customers and guests
- Payments
- Captains and operational information
Manage your tours and charters from one place
Whether you run private charters, scheduled tours or a combination of both, Marencia gives your team one operational view of bookings, boats and departures.
